Piql chosen for digital preservation for the state of Santa Catarina

The Automation Centre of the State of Santa Catarina (CIASC) has chosen Piql as its partner in delivering digitisation and preservation services.

The service includes high quality and speed digitisation, in compliance with the RDC- Arq (from the National Council of Archives), online storage and access to files provided by CIASC, as well as offline long-term digital preservation provided by Piql.

This collaboration ensures that all public organisations in Santa Catarina can now access the full suite of Piql’s services and technology through CIASC’s portfolio.

IPREV first to try the new service

The Social Security Institute of Santa Catarina (IPREV) is the first social security agency to take advantage of the new service. 

So far, more than 1.8 million documents have been scanned for digtisiation. This will reach 7.3 million documents at the rate of 200,000 each month.

The documents will be preserved on piqlFilm and stored in two copies and two different locations for added assurance. 

For Eduardo Jonker, Information Technology and Electronic Governance manager at IPREV, being able to save time finding archived files was a significant motivator.

‘The contact has some ambitious goals, such as the digitisation of 100% of the physical collection of IPREV by 2024, therefore allowing for a reduction in the time it takes to consult archived documents and processes. Many of which are vital in legal proceedings,’ he said.

‘We are working in a partnership with CIASC and Piql for the use of the artificial intelligence in searches and automation of collections, aiming to give even more quality to essential sectors in IPREV, such as granting benefits and social security compensation that bring important resources to the institute.’

Director of Piql Brazil, Roberto Carminati, described the partnership as an important strategic collaboration for Piql.

‘By offering our services within the portfolio of CIASC, enables us to expand our offering to the public sector and create similar opportunities in other states,’ he said.

Previous collaboration for the Arctic World Archive

This collaboration follows on from an initial project between CIASC and Piql, that digitally preserved documents that capturing the history of Santa Catarina in the Arctic World Archive(AWA), located on the remote island of Svalbard.

AWA is a growing repository of world memory, tested to last for a millennium. Data is stored in the futureproof medium of piqlFilm, inside a secure mountain vault. The natural cold and dry conditions are ideal for film storage making it sustainable with no carbon footprint.

The collection deposited portrays the political and administrative history since 1703 and highlights the actions and relations established by the government of the Island of Santa Catarina with the regal or central power since the colonial period, passing through the province of imperial times until the middle of the 20th century. The documents show the peculiarities of governance, territorial, economic and social formation over time.

Added to this documentary heritage is a cartographic collection of more than 4,000 maps, plans and sketches, 9,000 iconographic images, 700 multimedia materials and a support library that accommodates more than 5,000 textual bibliographic volumes, including rare works dated between 1752 and 1959.
